Use case: bookkeepers and accountants
One catcher per client, each filing into that client's own Drive folder and sheet, so clients forward receipts to an address and you never chase a shoebox.

The hardest part of bookkeeping for small clients usually isn't the bookkeeping. It's getting the receipts. ExpenseCatcher gives each client an address to forward to, and you get a tidy folder and sheet per client.
The setup
For each client, create a catcher named after them, such as Northwind Ltd. Then:
- In the Save to Google Drive step, pick that client's folder. It can be a folder the client shared with you, or one you made.
- In the Log to Google Sheet step, pick the client's spreadsheet and tab.
- Send the client their catch address with two links: save it as a contact and forward receipts from Gmail automatically.
Every receipt the client forwards is renamed consistently, such as 2026-10-04 Northwind 33.83 EUR.pdf, filed in their folder, and logged as a row with date, vendor, category, total, tax, currency and invoice number.
Filing by month
In the Save to Google Drive step, choose year or year-and-month subfolders. Receipts then file themselves into 2026 / 2026-10 without anyone sorting them.
You can also change the file name template. The variables are {date}, {vendor}, {total}, {currency}, {category}, {invoice_number}, {type}, {bill_to}, {subject} and {catcher}.
Into your accounting software
If you use Xero, QuickBooks or another tool with a receipt inbox, add Forward to an email with that inbox's address. The client's receipt is filed in Drive and lands in the books, without anyone forwarding twice.
Checking the reading
AI reads every receipt, and the sheet shows what it read. When something is off, such as a total that includes a tip or a date in another format, open the catch in ExpenseCatcher, correct it, and the fix is written back to the client's sheet.
Whose data is it?
The files and sheets live in Google Drive, not in ExpenseCatcher. If a client leaves, their folder and sheet stay where they are. ExpenseCatcher can only reach files it created or that you picked in Google's file picker, nothing else in the Drive.
Which plan
Pro covers 20 clients (catchers) and 250 catches a month. Business covers 100 clients and 1,000 catches. See pricing.
