Use case: small teams

A catcher per company card or department, all logging into one shared Google Sheet, so whoever does the books sees every receipt without chasing anyone.

In a small team, the person who pays and the person who does the books are rarely the same person. Receipts get stuck in between, in someone's inbox, someone's pocket or a chat thread. Give each source of spending its own catch address and they all end up in one place.

The setup

Create one catcher per card or per department:

  • Card – Maria and Card – Tom
  • or Marketing, Operations, Travel

Share each catch address with the people who spend from it. They save it as a contact (Receipts – Marketing) and forward receipts as they come in. Here's how they save it.

For shared tools and subscriptions billed to a team inbox, set up a Gmail filter or an Outlook rule on that inbox once.

One sheet for everything

Point every catcher's Log to Google Sheet step at the same spreadsheet, and use one tab per catcher or one shared tab. The Catcher column shows where each row came from, and the Drive link column opens the original. Share the sheet with whoever does the books.

Drive folders can stay separate per catcher, so each card or department keeps its own archive, or they can share one folder with year or month subfolders.

Approvals without a tool

ExpenseCatcher doesn't do approvals. A filter and a forward cover most small-team needs, though:

  1. Only continue if… Total is more than 300
  2. Forward to an email: the founder or finance lead

Everything is saved and logged. Only the bigger purchases also land in someone's inbox for a look.

Keep the address private

Anyone who has a catch address can send files into your Drive. Share it with your team only. If it leaks, create a new catcher with a fresh address and pause the old one.

Which plan

Basic covers 5 catchers and 50 catches a month. Pro covers 20 catchers and 250 catches. See pricing.
