ExpenseCatcher turns receipts you forward into files in your Google Drive and rows in your Google Sheet. Here's the whole setup, from signing in to your first real catch.
1. Sign in with Google
Click Start free and sign in with the Google account whose Drive you want to use. Google will ask you to let ExpenseCatcher see, edit, create and delete only the specific Google Drive files you use with this app. Tick that box. It's the narrowest Drive permission Google offers: we can reach the folder and sheet we create for you, plus files you pick yourself, and nothing else in your Drive.
2. Name a catcher
A catcher is one small automation with its own email address. Name it after what it catches, such as Acme invoices, Travel or Home. Then click Create catcher.
ExpenseCatcher then:
- creates a folder in My Drive / ExpenseCatcher / your catcher's name,
- creates a Google Sheet in that folder, named your catcher's name — Expenses, and
- gives the catcher a private address like
acme-invoices-k7q2m9xw4r@inbox.expensecatcher.com.
The random part of the address is deliberate. Anyone who knows the address can send files into your Drive, so keep it to yourself and your own email rules.
3. Send a test receipt
On the catcher's page, press Send a test receipt. A sample receipt runs through the steps, so you can open your Drive and your sheet and see what a catch looks like. Test catches don't count toward your plan.
4. Forward a real one
Forward any receipt email to your catch address. A PDF invoice, a photo of a paper receipt or a plain "thanks for your order" email all work. Within a minute or so:
- the file is in your Drive folder, renamed to something like
2026-10-04 Northwind 33.83 EUR.pdf, and - your sheet has a new row: date, type (receipt or invoice), vendor, who it was billed to, description, category, tax, total, currency, payment method, invoice number, the original sender, subject and a link to the file. Each sheet step lets you choose its columns.
No attachment? ExpenseCatcher saves the email itself as a PDF. If you forwarded it, that's just the original message, without your note, your signature or the "Forwarded message" header. If the email only links to an invoice on a public page, it saves that page as a PDF instead.
5. Fix anything misread
AI reads each receipt, and now and then it gets a field wrong. Open the catch under Catches, correct the field, and save. The correction is written back to the same row in your sheet, so your sheet stays the record you can trust.
6. Stop forwarding by hand
Your catch address does the most work when receipts reach it without you:
- Forward receipts from Gmail automatically with a filter.
- Forward receipts from Outlook automatically with a rule.
- Save the address as a contact for the receipts you send yourself.
- Catch paper receipts from your phone.
What's in each plan
Your first 30 days are on Basic, free and with no card: 50 catches a month and up to 5 catchers. After that you move to the Free plan, with 5 catches a month and one catcher, unless you pick a paid plan. If you already know you need Pro or Business, choose it on the pricing page and pay straight away. Paid plans add catches, more catchers (one per client, card or project) and longer step chains.
